Mutual Understanding Agreement

As we embark on this journey together to position you as market leaders, it will require both parties to work closely as part of your strategic digital marketing plan.

We are sensitive to your needs. We realise this may mean more engagement by your staff to help transform your business results. We want to ensure your business grows profitably so together we can create more magic and make a greater difference for the good of all.

The following mutual agreement is designed to assist with communication flow and provide clarity around each of our roles and responsibilities.

CM’s Role and Commitment:

We will serve you, our client, to the best of our ability

Our Social media content process:

  1. Content creation following Digital Style Guide
  2. Internal review
  3. Proofreading
  4. Client review
  5. Schedule content
We will provide social media content for you to review in a timely manner (4th Monday of each month)
If there are any errors on social media posts, we will rectify those issues the same day
If you are on our Silver or Gold hosting and support package and you need to add content to the website (excluding a new full-page design: ie: service page, case study page, and video blog page), we will turn it around within two working days
We will be available to discuss results

Client’s Role and Commitment:

Reporting

In order for us to serve you to the best of our ability and provide you with real, tangible, top-line results, we will need data and feedback from you. Therefore, you agree to provide the following data:

Starting point:

  • Last year’s revenue
  • Last year’s NP number

Ongoing

  • Previous month’s NP number
    • So we know how many NPs we have generated, and if this number is growing, flatlining, or declining
  • Previous month’s EP number
    • So we can see if the patients are coming back over time, and also to provide the practice with a consistent annuity
  • Previous month’s revenue
    • So we can see if the quality of the patients are improving, as the average revenue per patient grows

If you would like to have a Non-Disclosure Agreement signed between us, we totally respect this and we are happy to provide this.

Leads response time: Call or SMS website leads ideally within 30 business minutes. However, they must be responded to within three business hours, and update Active Campaign accordingly.

Update Active Campaign by:

  • Moving a deal to Consult Booked or Contacting
  • Put short notes under each deal each time the prospect is followed up
  • If the lead is qualified out, tick reasons why

Training

We want to ensure the maximum amount of enquiries are converted into consultations and new patients. Hence, we have put together a Book By Chat Mini-Course. This short simple course is designed to train your reception staff to convert the most amount of enquiries into consultations. 

As part of our Market Domination Program, you will have access to this mini-course free of charge (valued at $500). You agree that all your reception staff will complete this within 2 weeks of receiving access. 

 

Social Media Content

For clients whose social media we manage, you agree to:
Z
Supply us with behind-the-scene and patient journey content based on the minimal quantity as stated in the digital style guide
Z
Review social content by the due date with feedback (if applicable) as stated in the project management tool
Z
Only give us content that you approve to be used on social media. When you supply us with content, you agree that it can be used on social media.

Unfulfillment of Agreement

For clients who are not on an exclusivity contract, if either party does not fulfil the items in this agreement, a notification will be given via email and to discuss via a video Zoom call. From there, a period of two months will be given to recalibrating the situation. If all items on this agreement are still not fulfilled, then the service can be cancelled by either party, and CM can bring on a new client in the same geographical area.

For clients who are on an exclusivity contract, the contract term still applies. However, you are aware that results are not at the optimum level and can improve by the consistent contribution from your end.
